The Outlook add-in files a message and its attachments into a DocumentMS folder without leaving the mailbox. You pick the destination and metadata once; the message body is stored as a record alongside the attachments, and the audit trail notes who filed it and when.

What this connection does

Storing the message matters more than it first appears. The attachment is the document, but the covering email is frequently the evidence of what was agreed, when, and by whom — and it is the part that disappears when only the attachment is filed.

What you need on your side

Have these ready before you start; the configuration itself takes minutes.
  • Microsoft 365 with Outlook on the web, Windows or Mac
  • An administrator able to deploy the add-in through Integrated Apps in the Microsoft 365 admin centre
  • A DocumentMS account for each user filing messages

Setting it up

Test with one user and one document before rolling out. Connection events and permission changes appear in the audit trail.
  1. Step 1: Deploy

    Deploy the add-in centrally to the users or groups who need it, rather than asking people to install it individually.

  2. Step 2: Authenticate

    Users sign in once; with single sign-on configured this is silent.

  3. Step 3: Set defaults

    Configure default folders per team so filing is a confirmation rather than a decision.

  4. Step 4: Verify

    File one message with an attachment and confirm both arrive with the metadata applied.

Limits worth knowing before you rely on it

Stated up front rather than discovered later. Every integration has boundaries, and a directory that hides them just moves the discovery to a support ticket.
  • Filing is a deliberate user action — the add-in does not monitor mailboxes automatically. For automatic capture, use email-to-folder import with a dedicated address instead
  • Inline images and signature graphics are stored with the message but are not separated into individual documents
  • Encrypted and rights-protected messages file as the protected object rather than as readable records: the text cannot be extracted, so they are not OCR-indexed and not full-text searchable. Filing them is still worth doing for completeness of the record, but do not expect to find them by content
