Microsoft 365 document management integration

The Microsoft 365 integration lets a user open a stored document directly in Word, Excel or PowerPoint, edit it, and save it back as a new version in DocumentMS. The document stays checked out for the duration, so two people cannot overwrite each other.

What this connection does

A document stored in DocumentMS opens directly in Word, Excel or PowerPoint, and saving returns it to the repository as a new version. The document is held checked out for the duration, so a second person cannot produce a conflicting edit while it is open.

The point of this is not convenience. Removing the download-edit-reupload cycle removes the moment at which a local copy is created, and local copies are how the current version quietly stops being current. Every save produces a version with an author and a timestamp in the audit trail.

What you need on your side

Have these ready before you start; the configuration itself takes minutes.
  • A Microsoft 365 tenant with Office applications licensed for the users who will edit
  • An administrator able to grant consent to the DocumentMS application registration
  • Users signed in to Office with the same identity they use for DocumentMS — simplest with single sign-on through Entra ID

Setting it up

Test with one user and one document before rolling out. Connection events and permission changes appear in the audit trail.
  1. Step 1: Register

    Create the application registration in Entra ID and record the client and tenant identifiers.

  2. Step 2: Connect

    Enter the details in DocumentMS integration settings; credentials are stored encrypted rather than in configuration.

  3. Step 3: Consent

    An administrator grants tenant-wide consent so individual users are not prompted.

  4. Step 4: Verify

    Open one document, edit it, save, and confirm a new version appears with the correct author.

Limits worth knowing before you rely on it

Stated up front rather than discovered later. Every integration has boundaries, and a directory that hides them just moves the discovery to a support ticket.
  • Real-time co-authoring by several people at once is a Microsoft 365 capability, not a DocumentMS one — check-out deliberately prevents it, because concurrent editing and controlled versioning are different models
  • Very large files may be slower to open than from SharePoint, since the document is fetched from the repository rather than streamed from Microsoft storage
  • Supported on Microsoft 365 desktop and web, and on Office 2019 and 2021 for Windows. Office for Mac supports open, check-out and check-in but not the ribbon metadata panel, so properties are edited in the browser instead
