About DocumentMS

DocumentMS builds a document management system for organisations that have to prove what happened to a document, not merely store it. The product is designed around control — versions, permissions, approvals, retention and audit evidence — because that is what our customers are held to account for.

Why the product is shaped this way

Most document software is designed around storing and sharing, and then has control features added to it. DocumentMS was built the other way round: the repository, the approval chain, the retention rule and the audit trail were designed together, because in the organisations we work with they are one problem rather than four.

That decision has costs, and we would rather name them than pretend otherwise. Filing takes a few seconds longer, because mandatory metadata is enforced at upload. Sharing is more deliberate. Real-time co-authoring is better in Microsoft 365 or Google Workspace than in any control-first system, which is why we integrate with them instead of competing.

What you get in exchange is that the question "what happened to this document" has an answer — which version was approved, by whom, on what date, who read it afterwards, how long it is kept and who authorised its disposal. For organisations that only ever need to find a file again, that is overhead. For organisations that have to prove things to an auditor, a regulator or a court, it is the entire point.

  • Security features are in every pricing tier. A document system without an audit trail and permission granularity is storage, and selling that at an entry price would be selling something incomplete
  • Our comparison pages state where competitors are the better choice, because a comparison that never concedes anything is advertising and experienced buyers know it
  • Every figure we publish — uptime, recovery objectives, remediation targets, notice periods — is one our security questionnaire repeats verbatim, because a public page that contradicts a questionnaire answer costs more than the deal it was written to win
  • Retention raises a review rather than deleting on a timer, because an automated destruction cannot evidence who authorised it
  • We do not publish customer logos, ratings or case studies without written permission and a named contact who stands behind them, which is why you will find fewer of them here than on comparable sites
